Greenway Farm Booking Terms and Conditions
Greenway Farm Terms and Conditions
Pricing and Payment
- All itemised pricing listed in our quotations are subject to VAT @ 20%.
- If the rate of VAT increases, we reserve the right to increase the total cost of the event by the amount specified by the government on events already booked.
- All bookings are subject to a minimum charge which is calculated at 85% of the total cost of the agreed quotation.
- Full payment of the remaining balance is due no later than 4 weeks before the event date.
- Failure to make full payment by the due date may result in cancellation of the booking and forfeiture of the deposit.
- Payments can be made via bank transfer, credit/debit card, cash or cheque.
Booking and Deposits
- A booking is only confirmed once a non-refundable deposit of £1,000 has been received.
- The deposit amount will be deducted from the final balance.
- Provisional bookings may be held for up to 14 days. If the deposit is not received within this period, the provisional date may be released without notice.
Cancellations and Refunds
The following cancellation charges will be applied, which reflect the costs and expenses Greenway Farm incurs on your behalf as the function date nears, and the reduced time available to secure alternative bookings:
- All cancellations must be made in writing by the person who made the booking.
- The deposit paid is non-refundable.
- Cancellation between three months and 28 days prior to the event will incur a cost of 75% of the total contract price.
- Cancellation between 28 days and the event date will incur a cost of 100% of the total contract price.
- All cancellations must be confirmed in writing. Only once written cancellation is received, and acknowledged by Titley Green, will the cancellation become effective.
- We strongly recommend wedding insurance to cover unforeseen cancellations.
Date Changes
- Date changes are subject to availability and may incur an administration fee.
- If the new date falls under a different pricing structure (e.g. peak season rates), the updated pricing will apply.
Use of Venue
- The hirer is responsible for ensuring that guests adhere to the agreed schedule and respect all Greenway Farm premises and property.
- Access times for setup and breakdown must be agreed in advance.
- Access to the venue the night before the event may be considered, subject to an additional fee.
- Noise levels must be controlled, and comply with local regulations, as well as Greenway Farm’s Licensing conditions.
Damages and Liability
- The hirer is responsible for any damage caused by themselves, their guests, or external suppliers.
- A security deposit of £200 may be required, refundable after the event if no damage or excessive cleaning is needed.
- Greenway Farm accepts no responsibility for loss or damage to personal property during the hire period.
External suppliers
- All external suppliers must be approved in advance by Greenway Farm.
- Suppliers must carry appropriate insurance and comply with all health and safety requirements.
- Any use of open flames, fireworks, or similar must be authorised by Greenway Farm in writing.
Force Majeure
- Greenway Farm shall not be liable for any failure to perform its obligations due to events beyond its reasonable control, including but not limited to: extreme weather, fire, flood, pandemic, or legal restrictions.
Photography and Promotion
- Greenway Farm may take photographs during events for promotional purposes unless otherwise instructed in writing by the hirer.
- Greenway Farm agrees not to release such photographs on social media until 48 hours after the event, or later if specifically requested.
- Any professional photography or filming must be agreed upon in advance.
Agreement
- By paying the deposit, the hirer agrees to be bound by these terms and conditions.
- These terms may be updated periodically, and the latest version will apply to your booking.
